Privacy Policy and Data Processing

At Polar Star Fish Co., we handle all personal information with the utmost confidentiality. Data is used exclusively within the company and by our trusted business partners, and only to the extent necessary to fulfill our agreements with customers, employees, and suppliers. Access to data is therefore restricted to employees at Polar Star Fish Co. whose duties require such information. We do not sell or disclose your data to third parties.

We adhere to strict internal guidelines and a comprehensive security policy to protect your information. Technical measures have been implemented to safeguard against unauthorized access, modification, deletion, or use of data. Polar Star Fish Co. does not share information with public authorities unless we are legally required to do so by law.

Deletion and Retention

Your personal data is only stored in our systems as long as there is a factual and specific purpose for doing so. We also retain data following completed recruitment processes so that you may be considered for future vacancies.

Documents submitted via our online application module (e.g., CV, cover letter, and attachments) are generally deleted 6 months after the recruitment process has concluded. However, we retain your name and email address in the system for potential future contact. You have the right to request deletion at any time by contacting us in writing. In such cases, we will remove your information unless legislation requires us to retain specific data for a longer period.

Disclosure of Data

In certain situations, Polar Star Fish Co. shares your personal data with external parties. This may include (i) partners who support our operations (such as technical support, shipping companies, or financial institutions), (ii) in connection with the transfer of website content, or (iii) if required by a court order or existing legislation. Disclosure only occurs when there is a legal basis for doing so.

We only register the information and files that you provide yourself. We encourage you only to send data that is relevant to the specific position. The purpose is to evaluate and contact potential candidates. We also maintain a history of the positions you have applied for. Your data is treated confidentially and is only accessible to individuals directly involved in the hiring process.

Processing of Personal Data during Recruitment

When you apply for a job at Polar Star Fish Co., we act as the data controller. The purpose of the collection is to assess your qualifications for the vacant position. We primarily process general information, but in certain cases, we may also process your civil registration number (CPR).

Upon receipt of the application: We register the information appearing in your CV and cover letter, typically including: Name, address, date of birth, gender, contact details, civil registration number, marital status, education, and work experience. The legal basis for this is GDPR Article 6(1)(b), as the information is submitted to us with a view to employment. Data is stored in our administration system.

Assessment and interview: We perform a specific evaluation of each applicant and invite relevant candidates for interviews. During the interview, we record additional information used for the overall assessment, also based on GDPR Article 6(1)(b).

References: For certain roles, we obtain references from previous employers. This only happens with your consent pursuant to GDPR Article 6(1)(a). You may withdraw your consent at any time by contacting us, though this does not affect the legality of the processing that took place prior to the withdrawal.

Retention and rejection: If your application is rejected, your information will be deleted after 6 months. If you are hired, your information will be transferred to your personnel file. In some cases, we may wish to save your application for later use after a rejection; if so, we will specifically request your consent for this.

Rights of Access and Objections

Through the personal data policy described above, Polar Star Fish Co. complies with all current legislation regarding the processing of personal data.
